Doug O’Halloran is the Sales and Marketing Manager of the Leeuwin Ocean Adventure Foundation, a not-for-profit activity provider which uses its income from day sales to fund youth development in Western Australia.

They offer sailing trips to suit everyone, from three-hour short sails to week-long voyages, as well as customised Corporate and Private charters. Their Ultimate Challenge Voyages are specifically tailored to young people with any physical, sensory or intellectual limitation that prevents them from participating in a regular voyage, so that they can experience a life-changing adventure in a safe and supportive environment.

While Doug loves his job, he felt that their manual booking process presented challenges that were holding the business back.

Being in the maritime industry meant that specific criteria had to be met to send the ship to sea, so a lot of information had to be obtained from customers before a booking could be finalised. However, staff were spread too thinly, resulting in errors in the data collected.

With a manual booking system, customers couldn’t immediately book a sailing trip online. There was a lot of phone and email tag involved in getting the information Doug needed to confirm the booking.

Doug knew that this was an inefficient and costly way to do things.

“It would cost us money if we hadn’t fixed it. We would have been missing out on sales because we couldn’t record the phone calls coming through after-hours. Also, we would probably have to have hired one more full time staff member to help manage with the workload.”

Doug knew he needed online booking software to fix this, so he began to weigh his options. He knew that he needed something flexible enough to cope with the strict reporting requirements of the Maritime Safety Authority.

“Everyone knew that we needed to get a booking system, and I wanted to get one on board as soon as possible.”

At first, he tried to have it custom-made. However, he quickly discovered how much of a hassle it was.

“We tried to go down the path of having our own booking system created, and that ended up being a nightmare. The people we had contracted to create it didn’t really have the resources required. We would solve one problem to have three crop up. We tried it for two years before we pulled the plug.”

He then looked at several ready-made booking systems, but they weren’t flexible enough to capture the data they needed.

“We tried a few other commercial and retail booking systems, but none had the flexibility to ask for participants’ names and ages.”

Doug was then referred to Rezdy and decided to check it out.

“We heard that Rezdy was very flexible – that they always listen to what people want, and make changes to the software – and we found it to be so. They were the only one that allowed us to do the required reporting to the Maritime Safety Authority. That was the tipping point for us.”

After taking a free trial, Doug was convinced that he finally found software that was simple to use but flexible enough to meet the needs of his business.

“Now our receptionist can take on different responsibilities rather than just taking bookings.”

Doug also likes the other capabilities that Rezdy offers.

“The marketing side of things is really useful. I can see where customers heard about our foundation so we know how to channel funds in the future.”

Doug is so happy with his choice that he would recommend Rezdy to fellow activity providers.

“We contact them about two times a month with questions about how to run certain reports and updates that are in the pipes. It’s been great – they get back to me quickly, and if they don’t have something in place they’re always willing to try and figure something out.”
