So many elements go into running your tours and activities that it’s easy to lose track. That’s why your visual calendar is absolutely necessary to the smooth running of your business. It serves as your go-to place to oversee your bookings for that day, week, month, or year.

Here are the tips and tricks you should be taking advantage of to gain full use of your calendar and be totally organised.

1. Repeat sessions

Some of your products will be recurring at set days and times. You don’t want to have to key things in over and over again, so make sure you set up repeat sessions.

You can repeat them weekly or hourly.

2. Customise your manifest

Rezdy allows you to customise your manifest so that you and your staff are totally organized and ready to run your tour or activity.

You can access your manifest directly from your visual calendar.

You can check people in, choose what fields you want to show, and even create custom fields.

You will also be able to change the view of your Manifest. You can sort, hide, and arrange your data. Of course, you will also be able to print your Manifest so you can distribute it to your staff or bring it with you on tour.

3. Allocate resources to the visual calendar

Without an efficient way to manage resources, it’s all too easy to fall into the trap of overbooking your tours. You may have booked out the same boat for two separate tours that go at the same time, leaving you with the administrative hassle of adjusting it all.

Rezdy’s resource dependant calendar allows you to maximise the use of your resources while avoiding overbooking.

You can link resources (like vehicles, equipment, and instructors) to sessions, in order for your session availability to be automatically updated based on your resources availability.

  • You can book out private resources – for example, if you offer private helicopter tours in addition to shared public tours.
  • You can make sure that people booking online give you enough notice before a tour – prevent online bookings from being made for a certain time period before the tour departs.

It becomes powerful when you have more than 1 resource required for a session, or when resources are shared between concurrent sessions and products.

4. View your daily agenda in the visual calendar

Sometimes you just want a quick breakdown of what’s on for a particular day.

Your calendar agenda allows you to see an outline of all your bookings starting from the day you have chosen on your calendar. Sort your agenda by availability, price, product, and resource associated with each session.
